When you use my website or contact me, you may sometimes share personal information with me. I handle this information with care and comply with all applicable laws and regulations. These laws govern the storage and use of your personal information.
In this privacy statement, I explain what information I collect from you and how I use it. This privacy statement applies to all interactions between you and Working Remotely, regardless of the method of communication.
Working Remotely, located at Lessinglaan 61 in Utrecht, is responsible for the processing of the personal data described in this privacy statement. You can send any questions or comments regarding your privacy to [email protected].
What are personal data?
Any information that reveals something about you and can be used to identify you is personal data. Examples include your name, your contact or address information, and your social security number. Some of this information, such as ethnic origin, religion, or a criminal history, is considered special category personal data.
Special personal data
I do not collect any special categories of personal data.
Personal data of persons under 16 years of age
I do not intend to process personal data of individuals under the age of 16. However, I cannot verify whether a visitor to my websites and servers is over the age of 16. If you believe that I have collected personal data from a minor without the consent of a parent or guardian, please contact me at [email protected], and I will delete this information if possible. If I do collect data from individuals under the age of 16, this will always be done with the consent of their parent or guardian.
When do I process your personal data?

, or fill out a form on the website. I may also receive your information from third parties in connection with my services. To better assist you, I’ll store some of your information. That way, I’ll know who you are and can refer back to what we discussed the next time we’re in touch.

2. To prepare and send you quotes.
Before I start working for you, I can send you a quote. To do so, I’ll save the following information about you:

- Email address
- Phone number

- Chamber of Commerce number (optional)
- VAT ID number (optional)

3. To fulfill a contract, contact you to schedule introductory meetings, take notes and/or record conversations, schedule appointments with you, and send you an evaluation form afterward.
If you purchase services from me, you want to be well taken care of and receive what you’ve requested. I store the following information for the purpose of fulfilling a contract:

- The other (personal) data provided by you

4. To be able to bill you and collect payment.
Of course, you must also pay for the services you have purchased. If you fail to do so, I will initiate a collection process. For billing and collection purposes, I will store the following information about you:

5. To keep you informed of changes to my services.
When I make changes to my services, terms and conditions, privacy policy, or other important matters, I would like to keep you informed. If you agree to this, I will use the following information to add you to my newsletter system:

6. To send you my newsletters and free giveaways.
If you have indicated to me that you would like to receive my newsletter and the free gift, I will store the following information about you:
- Name
- Email address

7. To register you for workations and send you information about them.
Once you’ve signed up for a workation, I’ll send you additional information about it (dates, times, etc.). If you agree to this, I’ll store the following information about you:
- Name
- Email address

8. To share your review on my website and/or social media.
If you have sent me a review, I will publish it on my website and/or social media channels. If you agree to this, I will store the following information about you:
- Name
- Company name (optional)
- Function / occupation

9. To effectively carry out advertising and marketing activities.
To advertise effectively and track how my ads are performing, I use the Facebook Conversion API. If you give me permission to use the Facebook Conversion API via the cookie banner, the following data may be sent from my server to Facebook:
- Name
- Email address
- Phone number
- IP address

Cookies and similar techniques I use
Working Remotely uses functional, analytical, and tracking cookies. A cookie is a small text file that is stored on your computer, tablet, or phone when you first visit a website. I use cookies with a purely technical purpose to ensure that the website functions as intended.
In addition, I use analytical cookies, such as Google Analytics, to analyze my visitors’ behavior and use that information to improve my website. Last but not least, I sometimes use tracking cookies (Facebook Pixel) so that I can offer you personalized content and ads. These include, for example, advertisers and social media companies.
If I need your consent to place cookies, I will ask for it during your first visit to my website. I also refer you to my cookie policy. You can opt out of cookies by configuring your web browser so that it no longer stores cookies.
As mentioned earlier in this privacy statement, I use the Facebook Conversion API to run effective ads. This technology only becomes active once you give your consent in the cookie banner.
Transfer to partners
To provide my services, I work with various suppliers and partners. These suppliers and partners include parties that:
- Send my newsletters (MailerLite)
- Handle my payments & collections (Moneybird)
- Taking care of my web hosting & email (Wix and Gmail)
- Doing my bookkeeping (Digitax Nomad)
- Other programs/software I use (Google Drive)
I have entered into data processing agreements and/or confidentiality agreements with sub-processors to ensure the security of your data. I only work with partners who can comply with the GDPR.
Some of my partners are located outside the European Economic Area (the countries within the European Union, Liechtenstein, Norway, and Iceland). Your data may be processed in the United States and/or other countries where these companies maintain their cloud storage, servers, and/or backups. With these partners, I have implemented appropriate safeguards, which have been contractually agreed upon through a data processing agreement or Data Processing Addendum, or via a model contract from the European Commission (click here). Most of them have already signed and implemented the stricter GDPR (the AVG). In this way, I ensure that your data is properly protected.
Transfer to third parties
As a general rule, I do not share or sell your information with individuals or organizations outside of Working Remotely, except for partners as described above. I may also be required to disclose your information in order to comply with a legal obligation.
The security of your data
Working Remotely has implemented appropriate technical and organizational security measures to protect your personal data against misuse, unlawful or unauthorized use, and loss.
All parties that process your data on my behalf (sub-processors) or have access to it (such as employees or contractors) sign a data processing agreement or a confidentiality agreement. These agreements and the associated data are retained for as long as I work with these parties.
How long will your data be kept?
I apply different retention periods for different data streams. Of course, you always have the right to request that I delete your data. See also the section titled “Your Rights.”
Personal data:
I will delete your name, address, phone number, and email address 2 years after our last contact.
Email:
Emails older than 2 years will be deleted unless they are still relevant to the performance of a contract or the resolution of a dispute.
Invoices and quotes:
Invoices and quotes may be deleted after the statutory retention period of 7 years. Your data will remain in my invoicing system at least until that time.
Newsletter:
You can remove your information from my newsletter system yourself at any time.
Visuals:
During our workations, photos and other visuals may be taken. We may use these for promotional purposes, such as on our website or social media. We may also use this visual material on our partners’ websites. If you do not wish to be visible, please let us know in advance. Upon request, we will remove this visual material if you are clearly recognizable in the photo.
Your rights
You have the right to access, correct, and delete your personal data. In addition, you have the right to withdraw your consent to data processing or to object to the processing of your personal data by Working Remotely. You also have the right to data portability. You can send a request to access, correct, or delete your personal data, a request for data portability, a request to withdraw your consent, or an objection to the processing of your personal data to [email protected].
To ensure that the request for access has been made by you, I ask that you include a copy of your ID with the request. In this copy, please black out your passport photo, the MRZ (machine-readable zone, the strip of numbers at the bottom of the passport), your passport number, and your Citizen Service Number (BSN).
This is to protect your privacy. If your request concerns a cookie, please include it with your request. I will respond to your request as soon as possible, but no later than four weeks. Working Remotely would also like to inform you that you have the option to file a complaint with the national supervisory authority, the Dutch Data Protection Authority.
Reporting a data breach
If, despite all precautions, a data breach does occur, I will comply with the data breach reporting requirement and, if necessary, report the breach to the Dutch Data Protection Authority within 72 hours of discovering it. If you discover a data breach, I kindly ask you to notify me as soon as possible—and in any case within 24 hours of discovering the breach—by sending an email to [email protected]. I can then take immediate action.
Liability
This privacy statement applies only to the personal data that Working Remotely processes for the purposes set forth in this agreement. Working Remotely accepts no responsibility or liability whatsoever for (the operation and/or content of) third-party websites or services.
Changes to this statement
The content of this privacy statement may be updated at any time by Working Remotely to reflect new developments in laws or regulations or changes within my company. You can subscribe to my newsletter, where I will keep you informed of any changes.
In any case, I recommend that you review my privacy statement regularly to stay informed about my privacy policy. By continuing to use Working Remotely’s services after changes are made, you agree to those changes.
